The Role

 

The Accounts Payable Coordinator position requires a multitude of job functions including invoice processing, managing receipts, light accounting, and data entry. The correct candidate will be able to multi-task and work well under pressure/ tight timelines, juggling different roles at any given time.

 

Overview

Scope of Responsibilities

 

  • Ensures timely and accurate payment of invoices and employee expense reports
  • Pays vendors by monitoring discount opportunities; verifying federal id numbers; scheduling and preparing checks/ACHs; resolving purchase order, contract, invoice, or payment discrepancies and documentation; ensuring credit is received for outstanding memos
  • Ensures proper approval is received and coding of invoices is reviewed for possible errors and verification or correction is made prior to posting
  • Maintains vendor list by verifying appropriate documentation attached from subsidiaries in requests to add vendors
  • Verifies accuracy of vendor accounts by reconciling monthly statements and related transactions
  • Assists in special projects as needed
  • Maintains historical records by scanning and/or filing documents
  • Receive and verify vouchers for goods and services
  • Sort, match and prepare batches of vouchers and check requests for data entry
  • Data enter vouchers for payment

The P2P Project Manager is responsible for consulting on P2P engagements, including assessment, implementation, upgrade, change management and training. Responsible for hands-on project design, communications, configuration of various leading P2P solutions (e.g. Zycus, Ariba, Jaggaer, Coupa, Determine, Basware). P2P Project Manager will also be involved in improving operational metrics, business case development and performance measurement. In addition, P2P PM will provide functional knowledge and manage client relationships within the context of an individual role.

The Procurement Manager is responsible for purchasing and strategic sourcing of goods and services for our clients. The Procurement Manager maintains ownership of daily procurement/P2P work processes for the assigned commodities and supports the category manager in setting the overall strategic direction for the category.

 

Overview

Scope of Responsibilities

 

  • Manages P2P work processes (initiates, approves, releases, & modifies purchase orders and contracts) to ensure on time delivery of goods and services to support client businesses.
  • Maintains master data for assigned vendors and commodities.
  • Monitors supplier performance to ensure service levels and quality adhere to supply agreement standards and customer expectations. Interfaces daily with cross functional teams (scheduling, production and sales) to resolve any purchasing related concerns.
  • Initiates root cause corrective actions and holds suppliers accountable as required.
  • Supports client business stakeholders in collecting and analyzing market intelligence data to identify key trends related to demand, supply and pricing.
  • Analyzes purchase price variance (PPV) on a monthly basis and provides insight and trend forecasting into variances vs standard.
  • Analyzes data and prepares cost savings/productivity program recommendations.
  • Supports category manager in supplier relationship management and negotiations.
  • Travels as necessary (<10%) to supplier and client locations.
  • Performs supplier risk analysis and implements business continuity measures to ensure supply.
  • Creates and maintains contracts in client’s P2P system.
  • Supports P2P Solution Administrator during high-volume periods
  • Other duties and tasks as needed to support client needs.

 

Required Skills / Experience

 

  • Bachelor’s degree, preferably Supply Chain, Business, Engineering, Sciences or Finance.
  • Work experience of at least one year in procurement or supply chain experience.
  • Experience creating, managing, analyzing and negotiating RFPs, RFQs, RFIs or eAuctions
  • Ability to work in a fast pace, high growth environment while balancing multiple, competing priorities.
  • Demonstrates intermediate (or higher) proficiency in Microsoft Office, including Excel (pivot tables, graphs, charts, formulas).
